FULL PACKAGE - SURVEY / DESIGN & CONTRACT ADMINISTRATION

This is when the client employs Sherwood Surveyors to undertake the survey design and contract administration of the whole project from inception (feasibility) to completion of works on site.

The role is normally used by clients when they intend to either refurbish an existing building or design a relatively uncomplicated building where input from other consultants would not be required.

The client can have a high degree of input into the design of the build and has the simple task of only having to appoint one consultant. Sherwood Surveyors becomes the single point of responsibility and manages all aspects of the project.

Appointing Sherwood Surveyors to undertake the 'Full Package' would normally result in us
undertaking the following role: 

Pre-contract

  • Site survey and transfer of data to AutoCAD.
  • Analyse and development of brief and formation of feasibility study.
  • Prepare draft project programme and costings amending and updating as necessary.
  • In conjunction with the client develop a scheme from outline proposals taking account of amendments requested by the client and revise as necessary to contain the costs within the agreed budget.
  • Advise on form of contract and any amendments thereto.
  • Formulation of the brief to the contractors together with the associated tender documentation including full set of drawings and specification prepared by Sherwood Surveyors.
  • Apply for all Local Authority consents.
  • Negotiate tender from the contractor to achieve a tender offer within the predetermined construction cost estimates.
  • Evaluation and analysis of the negotiated tender offer and the reporting thereon.
  • Prepare the building contract documents and arrange for them to be executed.
  • Call chair and minute the pre-contract meetings.

Post-contract

  • Chair and minute monthly site meetings.
  • Examine specifications, drawings, details, documents and information put forward by the contractor.
  • Provide full quality control inspection services throughout the contract monitoring progress and quality of work.
  • Issue to the contractor and the client a written valuation and statement for payment following the monthly application for payment by the contractor.
  • Provide reports of contractor’s performance in respect of time and quality and reports of cost progress and final cost all as requested by the client.
  • Issue notices changes within the terms of the contract. Including assessing damages for non-completion extensions of time and loss and expense caused by matters affecting regular progress of the works.
  • Carry out an ‘end of defects’ liability period inspection.
  • Obtain complete sets of as built drawings in association with the CDM Coordinator (Sherwood Surveyors can also undertake this role for you).
  • Issue certificates of practical completion schedules of defects and certificates of making good defects and prepare final account and reconciliation statement.
